About the Role
The People and Culture Administration Officer plays a critical role in providing administrative support to the Human Resources and Talent Acquisition Team. This role ensures compliance with Amana Living’s policies and procedures while managing key HR administrative and advisory functions, including contract management, onboarding, compliance, and record-keeping.

Key Responsibilities

  • Act as the first point of email contact for HR-related enquiries from managers and staff, providing accurate advice in consultation with HR Business Partners or the Head of Human Resources.
  • Work closely with the HR team to develop procedures and manage employees' ongoing mandatory compliance requirements.
  • Manage contract variations, issue and process employment contracts, and provide advice to managers and stakeholders.
  • Maintain and update payroll systems and human resource records.
  • Assist in drafting contracts for various employment types, ensuring compliance with relevant legislation and standards.
  • Support onboarding, compliance, and training scheduling for new employees in collaboration with Talent Acquisition Specialists.
  • Provide internal stakeholders and potential candidates with up-to-date information on current vacancies.
  • Administer the Employee Referral Program (ERP) and ensure timely payments.
  • Assist in the development and maintenance of talent pools, including managing communication and sourcing strategies.
  • Engage with candidates early in the sourcing process to capture talent for key and high-volume roles.
  • Collaborate within the HR team to share knowledge, strategies, and best practices.
  • Maintain efficient and accurate filing systems in line with the Privacy Act.
  • Draft and deliver HR documentation, including casual conversion letters and other employment-related correspondence.
  • Support additional duties and HR projects as directed by the Head of Human Resources and HR Business Partners.

About you:
Mandatory:

  • Strong time management skills with the ability to work effectively in a dynamic team environment.
  • Previous experience in administrative tasks within a fast-paced recruitment environment.
  • Understanding of and ability to interpret ER/IR legislation and provide informed advice.
  • Excellent customer service skills with strong communication abilities to build and maintain relationships.

Desirable:

  • Experience in developing and implementing sourcing strategies for talent pipelines.
  • Previous experience with bulk recruitment and talent management platforms.
  • Bachelor’s Degree or higher in Human Resource Management or a related field.
