At Amana Living, we are seeking a Clinical Scheduling Team Leader to lead, support, and drive the success of our Clinical Scheduling Team within Home Care services.

In this pivotal leadership role, you will champion a culture of collaboration, respect, and excellence, while implementing sustainable rostering systems that meet the needs of our clients and workforce.

About the Role

As the Clinical Scheduling Team Leader, you will take charge of managing and supporting a team of Schedulers and Workforce Administrators. Your role will be pivotal in ensuring that rostering processes are not only efficient but also meet the unique needs of our clients, workforce, and organisational goals. This role is part-time fixed term for 6 months cover at 3 days per week

Your Key Responsibilities Will Include:

Team Leadership and Development

  • Lead a High-Performing Team: Oversee recruitment, onboarding, and training of Schedulers, ensuring they are equipped to excel in their roles.
  • Performance Management: Conduct regular performance reviews, provide constructive feedback, and implement development plans to support ongoing growth and excellence.
  • Foster Collaboration: Build a culture of teamwork, inclusion, and collaboration, where every team member feels valued and empowered.
  • Team Training Resources: Develop, maintain, and update training resources to ensure all team members are supported and aligned with best practices.

Scheduling and Operational Excellence

  • Efficient Rostering: Ensure accurate and timely rostering of Clinical Teams, Allied Health staff, and other Home Care personnel to meet client needs as outlined in care plans.
  • Optimised Systems: Drive the development and implementation of improved scheduling processes to maximise efficiency and minimise costs.
  • Financial Accountability: Monitor and control agency staff usage, ensuring rosters align with budgetary requirements and KPIs.
  • Customer-Centric Approach: Deliver exceptional customer service, ensuring client satisfaction and adherence to Home Care standards.

Continuous Improvement

  • Identify Gaps: Monitor staffing and rostering trends, proactively addressing gaps through recruitment and resource planning.
  • Enhance Work Practices: Collaborate with stakeholders to review, document, and refine scheduling functions to promote continuous improvement.
  • Data Management: Ensure rostering data in the Aged Care Management System is accurate, up-to-date, and efficiently maintained.

 

What We’re Looking For

To thrive in this role, you will bring:

Skills and Experience

  • Proven Leadership Experience: A background in managing and supporting teams in a scheduling, workforce management, or operational role, ideally in Aged Care or Home Care services.
  • Scheduling Expertise: Hands-on experience in rostering and workforce planning, with a focus on achieving efficiency and client satisfaction.
  • Administrative Excellence: Strong organisational and time-management skills, with meticulous attention to detail and the ability to manage competing priorities.
  • Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and familiarity with Client Management Systems (eCase or ComCare experience highly desirable).
  • Financial Acumen: Understanding of budget management and cost control in rostering functions.

 

Essential Requirements

  • Current National Police Clearance Certificate (no older than 6 months) or NDIS Worker’s Screening Check.
  • Proof of current influenza and Covid-19 vaccinations, as per Amana Living policies.
  • Successful completion of a pre-employment medical assessment.
