About the Role
As a Scheduling Team Leader, you will play a key role in leading and mentoring our Schedulers and Enquiry Line staff, ensuring the seamless coordination of home care services. With a strong commitment to continuous improvement, you will guide the team in creating efficient, sustainable workforce schedules, delivering high-quality care while driving operational success.
Key Responsibilities
- Effective and efficient oversight of Schedulers & Enquiry Line, including recruitment, training, staffing allocations and rosters, staff meetings, performance reviews and performance management
- Ensuring efficient rostering of Community Support Workers (CSWs) and other Home Care staff to provide client services according to the needs as established in care plans
- Support financial sustainability of the Home Care services, monitoring agency use, promoting adherence to agreed rostering KPIs—including reducing MUT and ensuring staff with restrictions have the correct hours and limitations accurately reflected in rosters.
- Development and maintenance of training support resources for Schedulers & Enquiry Line teams
- Ensuring adequate induction training and ongoing support for all new Schedulers & Enquiry Line teams
- Performance management and development of all Schedulers & Enquiry Line teams
- Updating scheduling processes to ensure maximum rostering efficiency
- Demonstrating a high commitment to providing exceptional customer service to meet the needs of Home Care clients and staff
- Organising staff coverage from agencies in line with the Amana Living purchasing policy
- Adopt and promote a culture of inclusion, teamwork, and collaboration within the Scheduling Team
- Identifying staffing and rostering gaps and managing recruitment requests to ensure an adequate pool of frontline staff
- Documenting and reporting client feedback regarding care services provided
- Contributing to the continuous improvement of own work practices and enhancing the professional development of self and others
- Reviewing and identifying areas for continuous improvement in the rostering functions of all Homecare teams
About You
- Previous experience in scheduling services, preferably within aged care or healthcare.
- Proven leadership and supervisory experience, including staff training and development.
- Strong communication and administrative skills with exceptional attention to detail.
- Knowledge of Client Management Systems (eCase or ComCare experience advantageous). Proficiency in Microsoft Office applications (Word, Excel, Outlook, Teams).
- Ability to manage high-pressure environments while maintaining accuracy.
- Knowledge of SHAADS Award, Aged Care industry, and Quality Standards.
Essential Requirements
- National Police Clearance Certificate (no older than 6 months)
- Proof of current influenza as per Amana Living policies
- Successful completion of pre-employment medical and reference check
